This notice explains what personal data Downe Vets holds, why we hold and process it, who we might share it with, and your rights and freedoms. Downe Vets is the Data Controller and Processor under the terms of GDPR.

What data is being collected and processed

Processing refers to the collection, storing, updating and archiving of data. We process personal data e.g. name, address and contact details. We do not process sensitive personal data. This data is provided by the client and is collected when a client registers with the practice either in person, by post, by phone or by e-mail. We will only collect the information we need to provide you with our services.

We aim to keep all your personal data accurate and up to date and will ask you to confirm the accuracy of your personal details when you contact us. Please contact us if there are any changes to your personal data.

We also process staff employment data in accordance with employment, taxation and pension law as well as processing contractors’ data for the purpose of managing our contract with them.

What is the legal basis for processing the data

Our legal basis for processing data are:
• Client data is processed in accordance with our legitimate interests.
• Staff employment data is processed as it is a legal requirement.
• Contractors’ data is processed in relation to the performance of a contract.

Will the data be shared with any third parties

We may occasionally share your data with trusted or reputable third parties, who are also obliged to conform to GDPR regulations. To prevent any commercial conflict of interest, the names of these parties are confidential.

We may share data with other Veterinary practices, including referral centres. We may share your data with external laboratories, insurance companies, debt collection services, drug and feed manufacturers, animal charities, software suppliers, delivery partners, national databases and other business partners or suppliers. We may also share data with government and other public authorities.

We will not sell your personal data.

How will the information be used

Your data will be processed for the provision of animal care (both emergency and preventative), to manage your account, provide services and keep you updated.

Marketing correspondence

We will continue to contact you, either directly or via third parties, to provide services which we consider to be in the interest of your animals e.g. booster reminders. However, we will seek your informed consent before contacting you with direct marketing.

How it will be protected

We are committed to ensuring that your information is secure with us. We implement appropriate technical and organisational security measures to protect the personal data we process.

How long will the data be stored for (data retention)

We will process personal data for the duration of any relationship we have with you and will continue to store only the personal data needed after the relationship has ended in line with our Data Protection Policy.
